Job Summary: Responsible for answering all customer/patients phone calls as well as scheduling appointments from callers. To meet and exceed customer expectations and adhere to established quality practices while seeking to continually improve work performance. We are looking for a candidate who is professional, knowledgeable, well-spoken and empathetic.

Essential duties and responsibilities:

•             Promptly answering inbound calls for care center.

•             Greeting callers properly and politely.

•             Taking a short message and/or information from the caller very quickly.

•             Communicates phone message to appropriate party promptly.

•             Schedules and confirms appointments from callers.

•             Reschedules appointments when Physician and/or patient schedule changes.

•             Confirms patient information and enters changes into computer system.

•             Takes appropriate action for medical and non-medical emergencies occurring within the office.

•             Performs front desk duties as needed.

•             If applicable, schedules appointments as patient checkout from their appointment.

•             If applicable, creates and mails patient reminder cards.

•             Performs other duties as assigned.

 

Skills/qualifications/experience:

•             High School diploma or GED is required, prefer some college. 

•             Prefer minimum 1 to 3 years’ experience in medical office environment.

•             Prefer experience in patient scheduling.

•             Prefer experience with a multi-phone system.

•             Excellent communication skills (written and verbally).

•             Demonstrate proficiency in personal computer office applications, such as word processing, databases, and scheduling software.

•             Excellent customer/patient service.

•             Ability to multi-task and prioritize duties.

•             Ability to handle high stress situations and adapt to changing circumstances.

•             High attention to detail.

•             Ability to put patients at ease.

•             Must be able to stand, sit, bend, and walk.

•             Must be able to maintain confidentiality.

•             Ability to operate telephones and standard office equipment such as photocopiers and facsimile machines.

•             Ability to maintain professional working relationships with staff and patients.
